Who we are
VolleyHQ is a software platform operated by Silicon Valley Sport Ventures LLC (“VolleyHQ,” “we,” “us”) that volleyball clubs use to run tryouts, registrations, rosters, communications, and payments. We act as a service provider to those clubs. This policy explains what we collect, how we use it, and your choices. If you interact with a specific club through VolleyHQ, that club also handles your information under its own practices.
Information we collect
- Account & contact information — name, email, phone number, mailing address, and login credentials for parents, guardians, athletes, coaches, and club staff.
- Athlete & registration information — information you provide when registering an athlete, such as date of birth, grade, position, height, prior teams, optional photo, and any custom fields a club adds to its form.
- Payment information — when you pay a club, card and bank details are collected and processed directly by our payment processor (Stripe). We do not store full card numbers; we retain limited records such as amounts, status, and the last four digits.
- Communications — messages you send through our chat, email, or SMS channels, and your notification preferences and opt-ins.
- Usage & device information — log data, device/browser information, and product-analytics events we use to operate and improve the service.
How we use information
- Provide, operate, and secure the platform and the club services you use.
- Process registrations, payments, rosters, and tryout workflows.
- Send account and operational communications (e.g., confirmations, schedule changes, practice-cancellation alerts) and, where you opt in, text messages.
- Provide customer support and respond to your requests.
- Detect, prevent, and address fraud, abuse, and technical issues.
- Comply with legal obligations.
Mobile messaging & SMS data
If you opt in to text messages, we use your mobile number solely to send the account and operational notifications described in our SMS Terms (for example, practice-cancellation alerts, registration confirmations, and replies to messages you send us). We do not sell, rent, or share your mobile opt-in information or phone number with third parties or affiliates for their own marketing purposes. We share it only with our messaging provider (Twilio) as needed to deliver the messages you requested, and as required by law. You can opt out at any time by replying STOP to any message or by turning off text notifications in your account settings. Message and data rates may apply, and message frequency varies.
How we share information
We do not sell your personal information. We share it only as follows:
- With your club — the club you register with receives the information needed to administer its programs.
- Service providers that process data on our behalf under contract, including Stripe (payments), Clerk (authentication), Twilio (SMS), our email provider (transactional email), product-analytics and error-monitoring tools, and our database and hosting providers. They may use the data only to provide services to us.
- Legal & safety — when required by law, to enforce our terms, or to protect the rights, safety, and property of users or the public.
- Business transfers — in connection with a merger, acquisition, or sale of assets, subject to this policy.
Children’s privacy
VolleyHQ is used by clubs whose athletes are often minors. We collect information about athletes from the parents, guardians, or club staff who register them — not directly from children — and we use it only to administer the club’s programs. We do not knowingly collect personal information directly from children under 13 without verifiable parental consent obtained through the registering adult or club. A parent or guardian may review, update, or request deletion of their child’s information by contacting us or their club.
Data retention
We retain personal information for as long as needed to provide the service to you and your club, to comply with our legal obligations, resolve disputes, and enforce our agreements. When no longer needed, we delete or de-identify it.
Security
We use administrative, technical, and physical safeguards designed to protect personal information, including encryption in transit and access controls. No method of transmission or storage is completely secure, so we cannot guarantee absolute security.
Your rights & choices
- Access & correction — you can review and update your account information in your settings or by contacting us.
- Deletion — you may request deletion of your personal information, subject to legal and operational retention needs.
- Communications — you can opt out of marketing email via the unsubscribe link and opt out of texts by replying STOP or changing your notification settings.
- State privacy rights — depending on where you live (e.g., California), you may have rights to access, delete, correct, or limit certain uses of your personal information, and to not be discriminated against for exercising them. Contact us to make a request.
Cookies & analytics
We use cookies and similar technologies to keep you signed in, remember preferences, and understand how the product is used so we can improve it. You can control cookies through your browser settings; some features may not work without them.
Changes to this policy
We may update this policy from time to time. When we do, we will revise the “Last updated” date above and, where appropriate, provide additional notice.
