Shared costs vs. family costs

A fair split starts by separating two kinds of cost. Shared team costs — the tournament entry fee and the coach's travel and lodging — benefit everyone, so they're divided evenly across the roster. Family costs — your hotel room, your drive, your meals — depend on your own choices, so each family covers its own.

Doing the math up front avoids the awkward end-of-weekend scramble to settle up. If you're budgeting the whole season, pair this with the club cost calculator.

Frequently asked questions

How do teams usually split tournament costs?
Shared costs — the team entry fee and the coach’s travel and hotel — are typically divided evenly across all rostered athletes. Each family then covers its own hotel, gas or flights, and meals. This calculator adds your even share of the shared costs to your family’s own expenses.
Should families cover the coach’s travel?
Most clubs expect the team to cover the coach’s tournament travel and lodging, split among the families. It is usually folded into a per-athlete tournament fee rather than paid ad hoc. Enter the coach’s total travel and hotel in the shared-costs section to spread it across the roster.
How do I estimate driving costs?
Multiply round-trip miles by your vehicle’s fuel cost: miles ÷ MPG × price per gallon. For a 300-mile round trip in a vehicle getting 25 MPG at $3.50/gallon, that’s about $42 in gas. The calculator does this for you.
Who collects the shared tournament money?
Usually a team manager or the club. Collecting it cleanly — one charge per family, tracked and reconciled — is exactly the kind of thing that turns into a spreadsheet-and-Venmo headache. A club platform can bill each family their share automatically instead.

Stop chasing tournament money in the group chat.

VolleyHQ lets clubs bill each family their exact share of a trip and track who's paid — no shared spreadsheet, no Venmo requests, no reconciling receipts on the drive home.
